Making Preparations for Attending a Seminar, Checking In, Accommodation, Your Stay at the Center, Equipment and Facilities Offered at the Center.

Before planning your trip

  • Have you received our "practical information" email? Generally speaking, we send this information to registered participants six weeks ahead of the seminar. This information includes the access code you'll need to enter our facility.
  • Is your name on the list of participants? This list is available on the seminar home page.
  • Rooms are reserved only for guests whose names are included in the participant list.
  • In the "Shared Documents" list, the "Manage Documents" button enables you to provide and update information about your presentation. To enter the list you'll need the access code included in the travel information email.
  • Is the information about you and your presentation correct? (name, URL, title, abstract, etc.). Please notify us in case of inaccuracies.
  • Please inform us of any special dietary or other needs (vegetarian or vegan, allergies, etc.)
  • If you need childcare assistance, please let us know as early as possible so we can try to arrange this for you. Contact our service team for more information.
  • When packing, don't forget that our center is spread out over several buildings. A warm fleece sweater or jacket is advisable during the cold months. Also remember to bring a pair of sturdy shoes so you can explore the surrounding countryside on foot. The center features a music room replete with a grand piano and other instruments.
  • Kindly let us know if you will be accompanied by a service animal for disability assistance. Please note that household pets are not allowed at Dagstuhl.

Upon your arrival at the center

  • Most guests arrive on Sunday after 3pm, and most seminars start on Monday at 9:00 a.m..
  • The "practical information" email that we will send you shortly before your seminar starts gives detailed arrival and departure information. Please read it!
  • Reception is located in the new wing to the left of the main building. Service hours:
    • Sunday: 3:00 p.m. - 7:00 p.m.
    • Monday - Thursday: 7:30 a.m. - 4:00 p.m.
    • Friday from 7:30 a.m - 1:00 p.m.
  • Saturday arrival isn't possible.
  • If reception is closed when you arrive, just follow our self-service check-in procedure:
    • Open the main entrance door (new building) using the access code + F. You will find this code in the practical information email you received from us.
    • Find your room number on the list in the reception office.
    • Check off your name to indicate that you have arrived.
    • Take an expense sheet, which features a map and other key info.
    • Don't forget to pick up (and wear!) your name tag.
  • Meals at Dagstuhl are served promptly at the following times:
    • Breakfast: 7:30 - 8.45 a.m.
    • Lunch:  12:15 p.m.
    • Coffee and cake: 3:30 p.m.
    • Dinner: 6:00 p.m.
  • Sundays: meal service starts with coffee and cake at 3:30 p.m.. A self-service supper is available from 6:00 p.m. until the following morning.
  • The center is closed from Saturday morning until Sunday afternoon.

Rooming and facilities during your stay

  • We normally offer a single room with a private bathroom to our guests. On occasion we may offer some participants double rooms with two individual beds. Please let us know if you prefer a double room with another seminar participant.
  • If you'd like to share a double room with a spouse or other accompanying person, we can arrange this (space permitting) if you tell us in advance.
  • No rooms are available for people not on the participant list.
  • Dagstuhl has a wide range of conference facilities: data projects, local Windows-PCs as well as plug-in possibilities for your laptop computer in the lecture hall. Several workstation are available in the library.
  • Dagstuhl has a comprehensive informatics library, presenting a book exhibition for each Dagstuhl-Seminar with those books of the current weeks seminar participants which are available in the library stock

Departure

  • Guests normally depart on the last day of the seminar (usually Friday) after lunch, which begins at 12:15h. If you wish to extend your stay until early Saturday morning, please consult our service team.

Be sure to notify Dagstuhl Office if you have any special needs, e.g. vegetarian diet, allergies, require a super-size bed, or if you need childcare assistance.
